In-House Creative Project Manager
In 2017, I was a copywriter who saw a need for a dedicated project manager for Betabrand’s in-house creative team. I lobbied extensively for the role, performing my duties as copywriter in addition to creating a project management system where none had existed before.
I improved not only the day-to-day of Betabrand’s creative team, but marketing and production teams as well by establishing consistent communication, outlining how cross-functional creative deadlines are, and developing project workflows that extended beyond the creative team.
My opportunity to create and explore this role served as the foundation to my time at the California Academy of Sciences. In nearly five years, I revolutionized the project management system by creating a simple, effective request process where one did not exist before. I created a project system that standardized timelines to help take the guesswork out of scheduling. Facilitating schedule structure and security allowed me to comfortably step out of my immediate role more often to learn about processes in other departments. This ultimately lead me to take ownership over the annual exhibition production of the BigPicture Natural World Photography Competition.
See below for brief overview of my roles and responsibilities.
Roles & Responsibilities
-
Design Management & Email Marketing
At Betabrand, I managed three graphic designers and one copywriter who worked to create all digital assets for the eCommerce team, who sent marketing messages every single day. This included email, SMS marketing, and website graphics, as well as respective assets for the social commerce live shows.
At the California Academy of Sciences, I oversaw the schedules of 2-3 Graphic Designers at a given time, one Digital Interactive Designer, and often helped with scheduling for three Exhibition Studio Designers. I owned the scheduling for approximately 800 projects/year, 40–60 projects at a time, ranging from simple signage to complex campaigns like the annual Big Bang Gala.
I also owned the production of all marketing for the BigPicture Natural World Photography Competition. This included creating a year-long communications plan, developing all content for email, and sending all messages through Mailchimp. -
Prints, Packaging & Physical Product
At Betabrand, I worked with new or established vendors and the creative team to make new shipping bags, retail store signage, special events signage, as well as all marketing mailers and packaging inserts.
This experience was foundational to the extensive print and packaging production work I performed at the California Academy of Sciences. I managed the production of physical print ranging from wayfinding like visitor maps to the development and production of marketing banners that appear all around San Francisco. I managed the process of design development to printing and proofing, honing my eye and attention to detail along the way. -
Studio Management
In addition to keeping creative schedules on track at the Academy, I also maintained all Creative Studio technology such as computers, software, printers, and production tools. I would hold semi-annual tech check-ins with the Creative team to assess needs, order new equipment as needed, and ensure all new expenditures came within the budget. I also managed the in-house printers, used daily for print signage and proofing, monitoring paper and ink levels, and ordering more supplies as necessary. I also served as the studios Health & Safety lead, facilitating training to the team on an annual basis.
-
Website Management
Betabrand was a publishing powerhouse, with new products going live every day that are featured on live shows. In order to keep everyone on the same page, I managed both the homepage calendar as well as an internal, multi-department calendar that displays what’s launching when and when, updating as dates move around.
At the California Academy of Sciences, I was the BigPicture website admin, developing and scheduling content updates and working with the Digital Interactive Designer as needed for UX/UI updates.
-
Photoshoots, Styling & Photo Production
At Betabrand, I scheduled 3-4 photoshoots for 9-12 products per week, including multiple size models for every product. Coordinates samples for stylist and photographer and works to reschedule shoots as needed. I’ve coordinated all-day shoots on location for campaigns in addition to the above, with the largest coordinated shoot being 20+ models and 10+ crew members for a core collection relaunch.
Betabrand launched new 3-4 new SKUs every single day and it was my responsibility to coordinate the web production and production designers to ensure all products went live-to-site on time. In addition to managing these schedules, I was the first stop for approval: QAing product pages in order to request for copy edits or schedule pick-up shoots for any assets that may be missing.
From 2022-2023, I managed the in-house photography at the California Academy of Sciences until the creation of a photography manager position. This included intake and briefing, developing shotlists, securing models, and conferring as needed with exhibition and collections departments to ensure secure photography of specimens.
-
Social Commerce
Please see my Broadcasting Producer page, but in addition to managing the in-house creative team, I managed Betabrand’s broadcasting team consisting of four producers, one stylist, and seven hosts in order to put on a minimum of four, one-hour long shows per week. I coordinated their schedules, oversaw show plans, as well as produced and directed live shows.
